  • Password (stored as a bcrypt hash — we never store plaintext passwords)
  • Organization name and role (if applicable)
  • Account preferences and settings

2.2 Documents & Translation Data

  • Documents you upload for translation (PDF, DOCX, PPTX, XLSX, TXT, CSV)
  • Source and target language selections
  • Translation results, revision history, and associated metadata

2.3 Payment Information

  • Payment information is processed securely by Square. We do not store full credit card numbers on our servers. We may retain transaction IDs, amounts, and billing details for record-keeping purposes.

2.4 Usage Data

  • IP address, browser type, and operating system
  • Pages visited, time spent on pages, and navigation patterns
  • Referring URLs and search terms

How We Use Your Information

We use the information we collect for the following purposes:

  • Provide Translation Services — Process, translate, and deliver your documents using our AI-powered multi-step workflow.
  • Process Payments — Facilitate billing, invoicing, and payment processing through Square.
  • Communicate About Orders — Send order confirmations, status updates, delivery notifications, and respond to your inquiries.
  • Improve Service Quality — Analyze usage patterns to enhance our translation accuracy, workflow efficiency, and user experience.
  • Comply With Legal Obligations — Fulfill regulatory requirements, respond to legal processes, and enforce our terms of service.

AI-Assisted Translation Technology

Our translation service employs a proprietary, internally developed translation workflow system that incorporates AI-assisted Computer-Assisted Translation (CAT) tools. This is consistent with standard industry practice — virtually all professional translation companies and individual translators worldwide utilize CAT tools to ensure consistency, accuracy, and efficiency in their work.

Our workflow system leverages AI technology as one component within a comprehensive, multi-step quality process. AI-assisted tools are used to support — not replace — the work of our qualified human translators and expert reviewers. Specifically, AI assistance may be involved in:

  • Translation Memory & Consistency — Maintaining terminology consistency across documents and projects
  • Quality Assurance — Automated checks for formatting, omissions, and terminology compliance
  • Back-Translation Verification — Reverse translation comparison to validate accuracy
  • Terminology Management — Glossary enforcement and domain-specific term alignment

Your Documents Are Processed Securely

Documents submitted to our platform are processed exclusively through our proprietary workflow system for the sole purpose of providing translation services. Your documents are NOT used to train any AI models. All processing is governed by strict data processing agreements, and your content is handled in accordance with our data retention and security policies described in Sections 6 and 7. Every translation is ultimately reviewed and approved by qualified human professionals before delivery.

Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • Square (Payment Processing) — We share necessary billing information with Square to process your payments securely.
  • Translation Workflow System — Document content is processed through our proprietary AI-assisted translation workflow solely for providing translation services, as described in Section 4.
  • Legal Authorities — We may disclose your information when required by law, subpoena, court order, or other legal process, or when we believe disclosure is necessary to protect our rights or comply with a judicial proceeding.

We do NOT sell your personal information.

Data Retention

We retain your information according to the following schedule:

  • Account Data — Retained for as long as your account remains active. You may request account deletion at any time.
  • Completed Translations — Translation files and associated data are retained for 90 days after completion, then permanently deleted from our systems.
  • Payment Records — Retained in accordance with applicable tax and accounting laws (typically 7 years for financial records).
  • Usage Logs — Server and access logs are retained for up to 12 months for security and analytics purposes.

You may request deletion of your personal data at any time by contacting us at privacy@maydaylegal.com. We will process deletion requests within 30 days, subject to any legal retention obligations.

Data Security

We implement industry-standard security measures to protect your information:

  • Encryption in Transit — All data transmitted between your browser and our servers is encrypted using TLS/SSL protocols.
  • Password Security — User passwords are hashed using bcrypt with appropriate salt rounds. We never store or have access to your plaintext password.

Our Service is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete such information from our records as soon as possible.

Duty of Faithful Translation: We are committed to providing accurate and faithful translations of the source documents. However, we bear no responsibility for the truthfulness, accuracy, or validity of the content contained in the original source documents. Our obligation is limited to faithfully rendering the source text into the target language.

No Attorney-Client Relationship: The provision of translation services — including translations reviewed by licensed attorneys — does not create an attorney-client relationship and does not constitute legal representation of any kind. Translation is a linguistic service, not the practice of law.
